At Garaj Photography, we take your privacy seriously and aim to make our terms simple, clear, and respectful. Below you’ll find everything about how we collect, use, protect and respect your data, as well as the rules around purchasing our school photography services.
1. What Data We Collect
We may collect the following personal data:
- Contact information – name, email address, phone number
- Order data – student ID, school/class name (used internally)
- Technical data – IP address, browser type (for analytics)
- Marketing preferences – if you opt in
We never store payment card details. Payments are processed securely via Stripe.
2. Why and How We Use It
We use your data for:
- Fulfilling photo orders (contractual basis)
- Responding to your enquiries (legitimate interest)
- Sending occasional emails if you opt in (consent)
- Showing selected photos in private presentations or marketing (only with consent)
- Anonymous analytics via cookies
3. Data Retention
- Photos and order data are deleted 90 days after the ordering deadline.
- Email addresses are only kept if you gave consent for marketing.
- No photographs are kept or used for promotion without your permission.
4. Who Has Access
- Only authorized Garaj Photography team members
- No data is sold or shared with advertisers
- Some services (Mailchimp, Stripe) help us operate the website securely – all are GDPR-compliant
5. Secure Access to Photos
- Galleries are protected via a QR code + unique PIN, delivered on a printed card your child brings home from school
- Photos are viewable only by parents/guardians
- Access expires 7 days after publishing, after which links are disabled
- All files are permanently deleted within 90 days
We never make galleries publicly searchable or browsable.
6. Use of Photos
Photos of your child will only be used for private portfolio purposes or promotional materials if you give explicit consent during checkout.
If consent is given, selected photos might be shown:
- privately to schools or clients
- in brochures or sample galleries (never with names)
You can withdraw your consent at any time.
7. Marketing Emails
If you opt in, you may receive occasional reminders like:
“Free delivery ends tomorrow” or “Last chance to order before the term ends.”
Every email contains an unsubscribe link.
8. Your GDPR Rights
You may request:
- Access to your data
- Correction or deletion
- To withdraw consent
- To file a complaint with the UK ICO

10. Order Terms & Conditions
Orders & Access
- Orders are tied to your child’s student ID and school
- Access is granted via secure QR code and PIN
- Garaj Photography is not responsible if a school fails to distribute PINs on time
Delivery & Refunds
- Digital downloads are instant and non-refundable once accessed
- Printed photos are processed after the ordering deadline and sent to the school or home (depending on your selection)
- If an item is damaged or incorrect, contact us within 7 days. We may request a photo for verification
Image Usage
- All images remain the property of Garaj Photography
- You are granted a personal-use license only
- Photos may not be sold, edited, or reused commercially without written permission
